Aberdeenshire out-of-school club took two years to fix record-keeping system detailing children’s needs

An Aberdeenshire after-school club took more than two years to change procedures ensuring staff could meet children’s needs.

Inspectors found blank sections in care plans and a lack of detail regarding youngsters’ allergies and medication needs when they visited Fun 4 Kidz at Port Erroll Primary School in February, 2018.

They also said some of the files at the Cruden Bay club were not being monitored or updated regularly enough.

While some of these issues were amended, representatives from the Care Inspectorate returned to the facility this February and found it had still not fully met its requirements.

Inspectors said staff were able to recall specific children’s ongoing needs “in detail” but not all of these were being recorded on paper.

The inspection report said: “Should staff change suddenly then memorised details would be lost.

“Improving record keeping remained a work in progress.”

The inspectors added that other requirements to increase staffing levels and improve management had been met by the club.

Aberdeenshire Council, which runs the facility, appointed a new acting manager in August, 2019.

A permanent replacement was about to take up her post at the time of the most recent inspection.

The local authority says all of the Care Inspectorate’s requirements are now being met.

A council spokesman said: “We are pleased to see the Care Inspectorate has recognised the hard work and improvements that our acting manager started to implement.

“Our out-of-school club service is happy Fun 4 Kidz at Port Erroll Primary School demonstrated progress in most areas.

“Since the inspection, a new manager has been appointed and care plans have been reviewed and improved to meet outstanding requirements.

“The recently appointed head teacher at Port Erroll Primary School is committed to working in partnership with the setting manager and staff as they continue to make further and ongoing improvements.”
