For many businesses in north-east, specifically those working in the oil and gas industry, there is a constant need to implement practices that increase efficiency and reduce costs for the company.

As a business grows and expands, it must be able to cater for the workforce, which sometimes means moving to bigger premises or requiring the firm to make improvements of the facilities to house all staff.

Efficiency is key in many different aspects of the business but one day-to-day task that can sometimes be forgotten is the cost of printing. Many businesses are unaware of the potential savings that could be made by evaluating its printing infrastructure, with a saving on average of £147.00 per employee per year.

In printing terms, relocating to a new office can often lead to a complete overhaul of the businesses’ printer fleet. However, for some, finding the right solution to fit your individual business needs can be difficult, and often a real headache for some businesses.

Managing director of North East Reprographics, John Sheran, said: “With so many recent figures and reports commenting on Aberdeen’s booming business world, it is no surprise that many are having to find new offices to accommodate their growing workforce.

“We are witnessing dramatic changes in the industry with many businesses keen to find a solution that will fit with their brand values relating to environmental and cost issues. As such, the printing landscape is changing with many opting for a complete managed print service, which maximises productivity and increases efficiency, both in terms of cost and employee productivity.

“As you employ further staff, print related costs are undoubtedly going to increase therefore businesses need to find the best way to accommodate changes, with the least financial impact. The process of managed print service (MPS) recognises this, bringing a new meaning to device management efficiency and significant savings of 20% on print-related costs.”

Through an initial site and device audit, MPS can establish usage patterns of the business and also anticipate future print use, helping the supplier to select the best devices for your business, and ultimately control expenditure. However, it is not just cost savings that MPS can provide, as it can also assist with document security, employee productivity, and environmental friendliness, as well as coping with the shift towards mobile print.

Specifically, one of the more common issues with printers for business is that for most, the IT team or employees have to deal with any print device queries or errors, including installing new consumables, loading the devices with paper or fixing any paper jams or technical glitches that may occur.
These issues cannot only affect employee productivity but can also be time consuming and a drain on IT support resources. The MPS facility will automatically recognise any technical problems and automatically order and deliver consumables, which significantly saves employees time.

MPS can also reduce environmental costs, due to the automatic deletion of print jobs if it has not been collected by the end of the day, helping to reduce paper and consumable waste, as well as a much tidier office with no unwanted documents lying around.

The swipe card system also significantly bolsters document security, with each member of staff given individual cards allowing them to go to any printer and retrieve their document.
This works well if an employee is producing a large print run as they can use another available machine, and also ensure no confidential documents are left on the machine and inadvertently picked up.
The machines can also cope with the evolving mobile print technology to allow any mobile device to connect to a print at any time, which is great if you have hot-desk staff and visitors.
